MONITORING REPORTS & VISIBILITY
Useful observations. Clear next steps.
A monitoring report should help you understand what was visible, what was uncertain, who was contacted and what still needs follow-up.
Human observation. Agreed procedures. Clear reporting.
AN EXAMPLE OF THE FORMAT
A record your team can work with.
ACTIVITY & ESCALATION LOG
A clearer picture of the shift.
| Time | Zone | Observed activity | Verification status | Action taken | Follow-up |
|---|---|---|---|---|---|
| 21:15 | Main gate | Vehicle waiting outside gate | Visible on nominated view | Site contact notified | Acknowledged |
| 22:40 | Loading dock | Door remains open after agreed close | Open door visible; reason unknown | Duty manager contacted | Review requested |
| 23:05 | Perimeter | Selected feed unavailable | View unavailable; cause unconfirmed | Technical contact alerted | Follow-up open |
Reports distinguish what was visible, what remains uncertain and what action was taken. They do not establish a person's identity or intent.
AGREE THE REPORTING SCOPE
Separate the observation from the conclusion.
An open door is observable. Why it is open may not be. Reports should keep those facts separate and make the evidence limitations clear.
- Use the agreed site time zone for each entry.
- Identify the relevant camera or zone.
- State whether footage was clear, uncertain or unavailable.
- Record the contact method, action and acknowledgement.
- Assign follow-up without implying an issue is resolved.
Report frequency, delivery channels and any footage assistance depend on the agreed service. Dashboard imagery illustrates the concept; it is not a software access commitment.
